Communications Standing Committee & Chair


Committee Mandate

The Communications Committee (if formed) works collaboratively with the Board to design and

implement a coordinated communications strategy for Ontario Council (OC). The committee’s

primary goal is to enhance the quality of relationships within the organization, encourage club

engagement, and raise the public profile of the OC and its members.


Committee Composition

  • Chair: The Communications Chair serves as a member of the Ontario Council Board.

  • Members: Recruited from the Board or OC Clubs; names are presented by the Chair to the President and then to the Board for approval.

  • Structure Note: If a committee is not filled, the Communications Chair may fulfill all responsibilities independently.

The Communications Chair: Role Statement


The Communications Chair is responsible for the overall output and integrity of OC

communications. This includes selecting appropriate tools and platforms to improve

organizational outreach.


The Chair maintains high standards of Board conduct and ensures all digital and print

communications uphold the organization’s policies and Bylaws.


Key Responsibilities

Strategy & Governance

  1. Strategic Planning: In dialogue with the Board, develop and maintain a comprehensive OC Communications strategy for Board approval.

  2. Platform Management: Assess, negotiate, and maintain yearly subscriptions or contracts for communications platforms; recommend alternatives as technolog evolves.

  3. Policy Advising: Advise the Board on emerging communication trends and issues to assist in policy development.

  4. Reporting: Submit a comprehensive Annual Report.

Content & Distribution

  1. OC Newsletter: Manage the design, timetable, and distribution of 8–10 yearly editions utilizing submissions from Board members and Clubs (approved by the President).

  2. Digital Outreach: Coordinate e-blasts, special edition newsletters, and official social media posts for the Council, President, Advocacy Chair, and other Board members.

  3. Partner Engagement: Share relevant social media content from CFUW National, local OC Clubs, and like-minded partner organizations.

Technical Operations & Events

  1. Event Logistics: Set up and manage registration, virtual platforms (e.g., Zoom), and recordings for the Speaker Series, seminars, and the Virtual AGM.

  2. Website Management: Regularly update and maintain the OC website to ensuringformation remains current.

Data & Archives

  1. Maintain databases for all communication vehicles.

  2. Track and report statistics (website traffic, social media engagement, and event attendance).

  3. Manage archives for newsletters and event recordings (now placed on private YouTube channel).


Summary of Authority

The Communications Chair serves as an ex-officio member of the Advocacy Committee and is

required to attend the OC AGM and all Board meetings. They may also carry out additional

duties as assigned by the Board of Directors.
