Regional Directors
Please note that RDs have obligations to National, many of which overlap with the RD responsibilities for Ontario Council.
Role Statement
RDs serve as the OC Board’s primary contact with the Clubs in their respective regions and thus are a vital conduit of information from OC to its member Clubs and vice versa.
The RD is a voting member of the Ontario Council Board. They work collaboratively with the Board and represent the Clubs of their region at the OC Board and represent the OC Board to the Clubs of their respective region.
Their focus is to monitor and support the health of Clubs in their region, promote the development of new Clubs (when identified) and encourage the participation of Clubs in Ontario Council and its events.
Responsibilities
The RDs will:
Support the President in maintaining a high standard for Board conduct and uphold policies and the Bylaws regarding Directors’ conduct, with particular emphasis on fiduciary responsibilities.
Collaborate with other Board Directors and Regional Directors and participate fully as a Director of the Corporation.
Contribute to the development of an RD workplan and an OC Board workplan to ensure that activities undertaken by the Board and RDs address annual goals for the Board while meeting the needs of the Clubs.
Participate in all OC Board meetings and quarterly meetings of all OC RDs.
Communicate with their respective Clubs on a monthly or bimonthly basis, through email and electronic platforms (such as Zoom). They will keep records of key executives’ (president or equivalent, treasurer, advocacy chair or equivalent) information (name, email address) in their Clubs, to be shared with OC.
Visit Clubs when possible, to celebrate special Anniversary events or attend other events.
Provide guidance and support to OC Clubs wishing to hold Fall/Spring Gatherings.
Ensure continuous OC and OC member improvement through identifying, sharing and solving problems unique to individual Clubs, shared by Clubs in their region and across regions through collaboration with their OC RD counterparts and with the OC Board.
Regularly share information and promote the goals and advocacy work of the National and Provincial organizations.
Support OC Clubs in their Club level activities and act as a resource and link between Clubs and with OC. Along with the OC Treasurer, RDs will ensure that OC Clubs submit necessary information and OC dues to OC.
Promote the participation of OC Club members in OC committees and meetings.
Track expenses and file expense reports for their expenses deemed necessary to carry out the business of OC in their region with the OC Treasurer. They will track and file expense reports to the Regional VP for expenses incurred on behalf of CFUW National’s work.
Identify to OC Clubs which need support to maintain their Club and activities, including maintaining (retaining and increasing) membership levels and improving their community profile.
Prepare a year-end report on the status and participation of their region’s Clubs, including highlighting special projects undertaken by the Clubs, which will be included in the OC (and National) Year-End Report (Annual Report).
Ensure succession planning occurs for the position of Regional Director for their region.
Encourage leadership growth and succession development within the Region’s Clubs.
Contribute to OC Board committees when possible.
Attend the OC AGM (both virtual and in-person) and the OC Speakers Series events.
